This Privacy Policy explains what personal information HONG LUC Garden Studio ("HONG LUC", "the Studio", "we", "us" or "our") collects, why we collect it, how we use and protect it, and the choices you have. It applies to this website and to the design and consultancy services we provide.

We collect only the information we need to respond to you and to design well. This falls into a few broad categories.

Information you give us. When you complete the enquiry form, correspond with us, or commission a project, you may provide your name, the nature of your project, your message, and other details you choose to share about your property and your requirements. During a commission you may also share site plans, survey data, photographs, ownership and access details and preferences relevant to the design.

Information collected automatically. Like most websites, ours may collect limited technical information through cookies and similar technologies, such as your device type, browser, approximate region and how you navigate the site. Information from third parties. Where relevant to a commission, we may receive information from parties you introduce, such as surveyors, architects or contractors, or from publicly available property records.

2. How we use your information

We use personal information to respond to enquiries and provide quotations; to plan, design, visualize and deliver commissioned work; to communicate with you about your project; to manage invoicing and payments; to keep records required for our legitimate business and legal obligations; to maintain and improve the website; and, where you have not objected, to show completed projects in our portfolio and marketing in a way that respects any confidentiality you have requested. We do not sell your personal information, and we do not use it for automated decision-making that produces legal or similarly significant effects on you.

3. The basis on which we rely

We process your information because it is necessary to take steps at your request and to perform our contract with you; because we have a legitimate interest in running and promoting a design studio in a balanced and non-intrusive way; because we must meet legal, tax and accounting obligations; and, where required, because you have given consent, which you may withdraw at any time.

We share personal information only where it is necessary and appropriate. This may include trusted service providers who help us operate, such as our website host, email provider, cloud storage and accounting software; professional advisers such as accountants and legal counsel; and, for the purpose of realizing a design, the contractors, nurseries and consultants involved in your specific project, but only to the extent needed for that project and with regard to any confidentiality you have requested. We may also disclose information where required by law or to establish, exercise or defend legal claims. We do not sell or rent your information to third parties for their own marketing.

We are based in the United States and our service providers may process information in the United States or elsewhere. Where information is handled outside your home jurisdiction, we take reasonable steps to ensure it remains protected in line with this policy and applicable law.

6. How long we keep information

We keep personal information only for as long as we need it. Enquiry information that does not lead to a commission is kept for a limited period and then deleted or anonymized. Project records are retained for the duration of the commission and for a reasonable period afterward to support warranties, portfolio use, accounting and legal requirements, after which they are securely deleted or archived. Where the law sets a minimum retention period, we follow it.

7. How we protect information

We use reasonable technical and organizational measures to protect personal information against loss, misuse and unauthorized access, including access controls, reputable software providers and careful handling of project files. No method of transmission or storage is completely secure, and while we work to protect your information we cannot guarantee absolute security. Please avoid sending highly sensitive information through unsecured channels.

Depending on where you live, you may have rights over your personal information, including the right to ask what we hold, to request a copy, to correct inaccuracies, to ask us to delete information, to object to or restrict certain processing, and to withdraw consent where we rely on it. We will not treat you differently for exercising your privacy rights.

9. Children

Our website and services are intended for adults and are not directed at children. We do not knowingly collect personal information from children. If you believe a child has provided us with information, please contact us so we can remove it.
